General Terms of Service

Welcome to Kalpana Premium Car Rental. By booking a vehicle or using our services, you agree to comply with and be bound by the following comprehensive terms and conditions. These terms govern the relationship between you (the client) and Kalpana Premium Car Rental.

1. Booking and Reservation Policy

All bookings are subject to vehicle availability at the exact time of reservation confirmation.
To secure a booking for outstation trips or weddings, a minimum advance deposit (as specified by our booking executive) is strictly required.
Kalpana Premium Car Rental reserves the absolute right to upgrade your vehicle category at no extra cost if the specifically booked vehicle category becomes unavailable due to unforeseen mechanical issues.
The rental period starts from the time the vehicle leaves our garage and ends when it returns, unless negotiated otherwise for local fixed packages.

2. Cancellation and Refund Policy

Cancellations made 48 hours prior to the scheduled journey will receive a full refund of the advance deposit.
Cancellations made within 24 to 48 hours of the scheduled journey may incur a 50% cancellation fee on the advance amount.
No-shows or cancellations made within 24 hours of the dispatch time will result in forfeiture of the entire advance deposit.

3. Pricing, Tolls, and Additional Charges

Base pricing includes the rental of the vehicle and the driver's standard service.
Extra Charges: Toll taxes, interstate taxes, parking fees, and driver night allowances (for travel between 10:00 PM and 6:00 AM) are generally charged extra and must be paid by the customer, unless explicitly mentioned in a specialized all-inclusive booking quote.
Prices are subject to change during peak seasons or due to fuel price hikes, but any booking confirmed with an advance will not be affected by subsequent price changes.

4. Vehicle Usage and Passenger Conduct Policy

Strict No Smoking & Alcohol Policy: Smoking and the consumption of alcohol inside the vehicles is strictly prohibited. Violation will result in immediate termination of the trip without refund and a heavy cleaning penalty.
The passenger will be held fully financially responsible for any damage caused to the vehicle's interior (e.g., upholstery tears, deep stains) or exterior due to negligence during the rental period.
Carrying illegal substances, explosives, or heavily flammable materials in the vehicle is strictly forbidden by law.
Pets are allowed only with prior written permission from management and may require a mandatory additional cleaning fee.

5. Liability and Disclaimer

While we maintain our fleet to the highest standards, Kalpana Premium Car Rental is not liable for any delays caused by severe traffic, extreme weather conditions, road closures, or unforeseen mechanical breakdowns. In case of a breakdown, we will make our best effort to provide a replacement vehicle as soon as physically possible.
Passengers are solely responsible for their personal belongings. We hold no liability for lost, stolen, or damaged items left in the vehicle during or after the trip.
